How Maxinest Limited collects, uses and protects your personal information. Last updated October 2026.
Maxinest Limited (“Maxinest”, “we”, “us”) is a lettings and property management company registered in England and Wales. Our office is at Building 3, Chiswick Park, 566 Chiswick High Road, London W4 5YA. We are the data controller for the personal information described in this policy. Questions about this policy can be sent to Yuna@maxinest.co.uk.
When you enquire, make an offer or rent a home through us we may collect: your name, email address, phone number and WeChat ID; your university, course and move-in dates; budget and property preferences; identity and right-to-rent documents (passport, visa / BRP, share code); proof of funds or guarantor details where required; emergency contact details; and correspondence with our team. Our website also records standard technical data (IP address, browser, pages visited) through server logs and any analytics tools in use.
We use your information to: respond to enquiries and arrange viewings; prepare and manage tenancy offers and agreements; carry out legally required right-to-rent and referencing checks; register and protect deposits; set up utilities and council-tax exemptions on your behalf; manage maintenance, renewals and check-out; and keep in touch about your tenancy. We rely on the following lawful bases: performance of a contract (your tenancy), legal obligation (immigration, deposit and safety law), and our legitimate interests in running a lettings business and keeping records.
We share information only where needed to provide our service: landlords and building managers of the property you rent; a government-approved deposit scheme (mydeposits); referencing and right-to-rent verification services; utility, broadband and insurance providers you ask us to arrange; our professional advisers and IT providers (including form, email and cloud-storage services such as Jotform and Google Workspace); and regulators or authorities where the law requires it. We do not sell your personal information.
Some of our clients and partners are outside the UK, and some service providers store data outside the UK. Where personal data leaves the UK we rely on adequacy regulations or standard contractual safeguards.
Enquiry data is kept for up to 12 months if no tenancy follows. Tenancy records, including identity and right-to-rent evidence, are kept for the duration of your tenancy and for 6 years afterwards to meet legal and accounting obligations, after which they are securely deleted.
Under UK GDPR you can ask us to access, correct, delete or restrict the use of your personal data, object to processing based on legitimate interests, and ask for a copy of data you provided in a portable format. To exercise any of these rights email Yuna@maxinest.co.uk. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
Our website uses only the cookies needed for it to work (for example remembering your language choice) and, where enabled, analytics cookies that help us understand how the site is used. You can block cookies in your browser settings; the site will still work.
We may update this policy from time to time. The latest version will always be published on this page.
